iCIMS Job Board Integrations Setup: How to Connect Indeed, LinkedIn, and ZipRecruiter

Properly completing your iCIMS job board integrations setup is one of the highest-leverage configuration tasks you can do after go-live. Done right, it means every job you open in iCIMS automatically distributes to Indeed, LinkedIn, and ZipRecruiter, and every application flows back into your ATS without manual imports or copy-paste work. Done wrong, you are posting jobs in three different places manually, losing candidates who apply on a job board but never make it into iCIMS, and wondering why your pipeline looks thin.

🔧 How iCIMS Job Distribution Works
Before touching any integration settings, it helps to understand the architecture. iCIMS does not push jobs directly to job boards as a standalone action. Instead, it uses a system called the Apply Network as the central hub for job distribution and application data collection.
The Apply Network does three things. First, it lets you build standardized application workflows (called Apply Workflows) that define what screening questions travel with a job when it posts to a job board. Second, it connects to participating platforms like Indeed and ZipRecruiter so jobs post automatically and candidate data flows back in. Third, it normalizes the candidate experience across platforms so applicants are not redirected through multiple sites to complete an application.
LinkedIn operates a bit differently. It has two separate integration paths (more on that in the LinkedIn section), and neither runs through Apply Network in the same way. But the fundamental principle is the same: iCIMS is the system of record, and job boards are downstream distribution channels.
⚠️ The Career Portal Prerequisite (Do This First)
This is the step that most teams skip, and it causes more integration problems than anything else we troubleshoot. Before a job can appear on Indeed, LinkedIn, or ZipRecruiter, it must be posted to at least one active iCIMS career portal with an eligible requisition status.
In iCIMS, each career portal is configured to display jobs in certain statuses only. Statuses like “Open” or “Actively Recruiting” are typically eligible. If a requisition is in “Pending Approval” or “On Hold,” the portal will not show it, and the job board integration will not pick it up either.

Once your job is live on a portal with the right status, you are ready to configure distribution to external job boards.
🔍 Setting Up the Indeed Integration
The Indeed integration is made up of two separate components, and both need to be activated for the integration to work fully. Teams often set up one and assume the other is handled automatically. It is not.
Component 1: Indeed Apply Sync
This is the piece that handles job posting and application capture. When configured, jobs posted to your iCIMS career portal automatically appear on Indeed, and candidates who apply on Indeed have their data pulled back into iCIMS.
Open Apply Network in iCIMS
Log in as an iCIMS administrator. Navigate to System Configuration and open Apply Network. If Indeed is not listed as an option, contact your iCIMS representative to request activation.
Create or Select an Apply Workflow
Apply Workflows define the application questions that travel with a job to the job board. Create one specific to Indeed or use an existing workflow. Map it to the requisition types you want to distribute.
Validate the Indeed Integration
In Apply Network, you will see Indeed listed with a Validate button. Click it. Use the authentication screens to log in with your Indeed Employer account. Agree to the terms and conditions. The status should change from Validate to Active.
Apply Integration to Requisitions

Component 2: Indeed Candidate Sync
Indeed Apply Sync handles the job posting side. Candidate Sync handles the ongoing data flow. Without it, application data may not stay in sync between Indeed and iCIMS after the initial submission.
To activate Candidate Sync: log in to your Indeed Employer Dashboard, navigate to the Integrations Hub, search for iCIMS, and follow the installation steps. You will need both an iCIMS administrator and an Indeed Employer Home administrator to complete this step.
💼 Setting Up the LinkedIn Integration
LinkedIn has two distinct integration paths with iCIMS, and they do very different things. Most teams want both, but they are configured and activated separately. Confusing them is one of the most common questions we get from clients who think “the LinkedIn integration” is one thing.
LinkedIn Job Wrapping (Automated Job Posting)
Job Wrapping automatically pulls your open jobs from iCIMS and posts them to LinkedIn. Once configured, any job posted to your career portal is reflected on LinkedIn without manual effort. This is what most teams think of when they say “LinkedIn integration.”
Job Wrapping is not self-serve. You activate it by contacting your iCIMS account manager. They coordinate the setup with LinkedIn on the back end. From your side, you need to confirm which career portal(s) you want LinkedIn to pull from, and whether you want all jobs or a filtered subset to distribute.
LinkedIn Recruiter System Connect (RSC)
RSC is a candidate data sync between LinkedIn Recruiter and iCIMS. It lets recruiters with LinkedIn Recruiter seats see a candidate’s iCIMS application status directly inside LinkedIn Recruiter, export LinkedIn profiles into iCIMS jobs with one click, and view a candidate’s full application history across both platforms.
RSC requires at least one LinkedIn Recruiter Corporate or Recruiter Professional Services seat. If you have those seats, RSC is included in your LinkedIn license at no additional LinkedIn charge. iCIMS may charge an implementation fee depending on your contract. Contact your iCIMS account manager to initiate the RSC setup. Both your LinkedIn Recruiter admin and your iCIMS admin need to be involved.

⚡ Setting Up the ZipRecruiter Integration
ZipRecruiter joined the iCIMS Apply Network as an embedded integration in March 2024. It is the most straightforward of the three platforms to activate and is available for free to all U.S.-based iCIMS ATS customers.
Unlike LinkedIn, ZipRecruiter does not require going through your iCIMS account manager. You activate it directly from the iCIMS Apply interface.
Open the Apply Interface in iCIMS
Navigate to the Apply Network section in System Configuration. ZipRecruiter will appear as an available integration for U.S.-based accounts.
Activate the Integration
Click the activation button for ZipRecruiter. Follow the authentication steps to connect your accounts. The integration is embedded, so candidates apply on ZipRecruiter without being redirected to another site.
Configure Requisitions to Distribute
Map your ZipRecruiter distribution to the appropriate Apply Workflow, just as you did with Indeed. Candidate data including screening responses will flow directly into iCIMS upon application submission.

Here are the issues we see most frequently when iCIMS job board integrations are not working as expected.
Problem 1: Jobs Not Appearing on Indeed or ZipRecruiter After Setup
Root CauseThe job is in iCIMS but was never posted to a career portal, or the requisition status is not eligible for display on the portal.
FixCheck the job’s portal posting status first. Navigate to the job requisition and confirm it has been posted to the correct career portal with an eligible status (typically “Open” or “Actively Recruiting”). If the portal posting is missing, add it. Then verify the Apply Network integration for Indeed or ZipRecruiter is validated and the Apply Workflow is mapped to this requisition type.
Problem 2: Candidates Apply on Indeed but Never Appear in iCIMS
Root CauseIndeed Apply Sync was set up but Candidate Sync was not completed, or the Apply Sync validation step was never finished.
FixGo back to Indeed’s Integrations Hub and verify that both Apply Sync and Candidate Sync are active. If Candidate Sync is not enabled, complete the activation flow. If Apply Sync shows as “Validate” instead of “Active,” the authentication step was not completed. Redo the validation in iCIMS Apply Network.
Problem 3: LinkedIn Job Wrapping Posting the Wrong Jobs
Root CauseLinkedIn Job Wrapping is pulling from the wrong career portal, or the portal contains both internal and external postings without a filter to separate them.
FixContact your iCIMS account manager and confirm which portal LinkedIn Job Wrapping is configured to pull from. If you have separate internal and external portals, make sure Job Wrapping is pointed at your external portal only. This is a configuration change on the iCIMS/LinkedIn side, not something you can adjust in the iCIMS UI directly.
Problem 4: LinkedIn RSC Not Syncing Candidate Statuses
Root CauseThe RSC authentication token has expired, or a change in iCIMS user permissions disrupted the sync.
FixRSC tokens do expire and need to be refreshed. Have your LinkedIn Recruiter admin and iCIMS admin coordinate a re-authentication. If you have had recent changes to iCIMS user roles or login groups (similar permission cascade issues are covered in our guide to iCIMS workflow rules not triggering), verify that the account used to authenticate RSC still has the required admin permissions in iCIMS.
Problem 5: Apply Workflow Not Capturing Screening Questions from Job Boards
Root CauseAn Apply Workflow was not assigned to the requisition, or the Apply Workflow exists but does not include the required screening questions for that job type.
FixIn iCIMS System Configuration, review the Apply Workflows assigned to the affected requisition types. Make sure the workflow includes the screening questions you want to capture. For requisitions already in flight, update the Apply Workflow assignment at the requisition level. Going forward, build Apply Workflow assignment into your new requisition creation process, or use iCIMS workflow automation to auto-assign the correct Apply Workflow based on requisition type.
